Before a potential user is given access to the MidlandsChoice.com secure tools, their access must first be approved by an Authorizing Contact, also known as the Website Administrator, who has been designated by the provider TIN owner. The Authorizing Contact is responsible for several vital functions that are essential to the security of patient information.

The Authorizing Contact is responsible for the initial review of the level of access to the site that the potential user must have to complete their job responsibilities. There are four options to choose from:

  • Claim Tracking System only (user has the ability to look up and view submitted claims and view if they have been priced and forwarded to a payer for adjudication)
  • Employer Group Lookup, Payer Listing and Individual Policies applications only (user can view group and payer information)
  • Access to both of the above options
  • Access denied

In addition to this initial review, the Authorizing Contact must also notify Midlands Choice if a user no longer needs access to perform their job functions or if a user is no longer employed with their company. Upon notification, the user's website access will be disabled.

Once a year, an audit of all registered users is performed during which a list of all active users is sent to the Authorizing Contact for review. Once the audit is sent, the Authorizing Contact has ten business days to complete and return the audit. If the audit is not received by Midlands Choice within this timeline, all registered users will have their access suspended until the audit is completed.

Midlands Choice should also be notified of any changes to the Authorizing Contact. Doing so will ensure that the audits and authorization forms are being sent to the correct individual.
